How to Write a Thoughtful Thank You Note

Thank you notes. Outdated and antiquated? Think again. A handwritten thank you note is an excellent way to express our gratitude. In this fast-paced world, where much of the information we receive is electronic, a handwritten thank you note stands out.



Why Write a Thank You Note?

There are countless reasons to write a thank you note. When a gift is received, a note of thanks is a great idea. Examples include gifts for birthdays, weddings, baby showers, graduations, and the list goes on. It's also an important move following a job interview. Sometimes we put pen to paper because of someone's thoughtfulness or "just because."


And let's talk about the benefits! The note recipient will be thrilled to receive a very special envelope in their mailbox - something other than ads and bills. Yay! As for the writer, the notes brings positive feelings of gratitude and joy.

Thank You Note Content Basics 1. Start with the salutation or the greeting. Simply note to whom you are writing. You might begin with "Dear," "Hello," or "Hi" and then the recipient's name.

  • Dear Uncle Henry and Aunt Caroline,

  • Dear Mr. Benson,

  • Hi Kaylee,

2. Say thank you for the gift or kind act. Get right to the reason for the note - to say "thank you."

  • Thank you so much for the baseball mitt.

  • Thank you for taking the time to interview me for the Business Analyst position.

  • Thank you for coming to my birthday party and for the fun bracelet-making kit.

3. Share why you appreciate it. Include something about the impact of the gift or kind act.

  • I am excited to use it at my next baseball game.

  • I appreciated the opportunity to meet you and learn more about XYZ company.

  • I love it so much! Jewelry is my jam.

4. Say something about the other person. Add something about the recipient - when you will see them again, wishing them well, etc.

  • I look forward to seeing you in August at my Mom's birthday party!

  • I am very interested in this role and look forward to hearing from you.

  • See you at school after winter break!

5. Reiterate your thank you. It never hurts to reiterate and emphasize your gratitude one more time.

  • Thanks again and see you soon!

  • Thank you again for your time and consideration.

  • Thank you again, Kaylee!

6. Sign off. The note can be ended with words such as "Sincerely," "All the best," or "Love." It all depends upon your relationship with the recipient. Remember to include your name at the bottom.

Complete example:

  • Dear Aunt Sarah, Thank you for the awesome football jersey. I can't wait to wear it to school on Monday! I hope you are doing well and enjoying your time in Florida. Thank you again! Love, Jimmy

As for when to send a thank you note, I suggest it be done promptly after the gift or kind act. That said, if you are short on time or forget to do so right away, better late than never is a good rule of thumb.
